How we look after your information

This policy explains what personal information Evara Care collects, why we collect it, and how we keep it safe.

Who we are

Evara Care is a home care service owned and run by Rebecca Mercato as a sole trader. Rebecca is responsible for deciding how your personal information is used. You can contact us about this policy or your information at any time:

Information we collect

When you contact us

When you send an enquiry through our website, call or email us, we collect the details you give us. This usually includes your name, phone number, email address, who the care is for, the type of support you're interested in and anything you tell us in your message.

If you or a loved one becomes a client

To provide safe, personalised care, we also keep care records. These can include assessments and care plans, daily care notes and visit records, medication records, risk assessments, emergency contact details and financial records such as invoices. Some of this is health information, which the law treats as especially sensitive, and we take extra care to protect it.

Why we use your information

  • To reply to your enquiry and arrange a consultation, because you have asked us to and so we can take the steps needed before agreeing care.
  • To plan and provide your care, which is necessary for the care agreement between us and for the provision of health and social care.
  • To keep you safe, including sharing information with health or social care professionals where this is needed for your care or where the law requires it.
  • To meet our legal obligations, for example keeping financial records for HMRC.

We will never sell your information or use it for marketing without your permission.

Who we share it with

  • Family members or representatives, only with the client's consent or where we are allowed to by law.
  • Health and social care professionals, such as GPs, the NHS or the local council, where this is needed for your care or safety, or where the law requires it.
  • Service providers who help us run Evara Care, such as our website host, which receives website enquiries, and our email provider. They can only use your information to provide their service to us.

How long we keep it

We only keep your information for as long as we need it. If you make an enquiry but don't go on to use our services, we keep your details only for as long as needed to deal with your enquiry. For clients, we follow these retention periods:

Type of informationHow long we keep it
Client care records, assessments and care plans8 years after care ends
Daily care notes and visit records8 years after care ends
Medication records and relevant risk assessments8 years after care ends
Complaints, safeguarding incidents and related evidenceReviewed individually, and kept longer where a complaint, investigation or legal claim is unresolved
Invoices and financial recordsAs required by HMRC's record-keeping rules for sole traders
Emergency contacts and temporary contact detailsDeleted when no longer needed, unless they form part of a record we must keep

Keeping your information safe

We take sensible steps to protect your information from loss, misuse or unauthorised access, and only people who need it to provide your care can see it.
